Allen Communication Learning Services offers a suite of performance improvement solutions designed to support our client needs for business transformation. Our solutions include upfront analysis and development of web-based training, instructor-led training, performance support, etc., for a select (Fortune 500) clientele.

Currently we are looking for an executive assistant to support our Chief Learning Officer and Courseware Directors. For more information about Allen, please visit our website at www.allencomm.com. This full-time, salaried position will work from our Salt Lake City office (no telecommuting or relocation assistance).

Key Responsibilities

  • Serve as a first point of contact for team members and clients needing support from the CLO and Courseware Directors
  • Maintain calendars and manage scheduling for meetings, conference calls, events, and travel
  • Handle logistics for management meetings—room scheduling, equipment, preparation of pre-meeting materials, note-taking, summaries of action items, etc.
  • Manage travel arrangements and submit expense reports
  • Manage task lists and priorities to ensure deadlines are not missed or forgotten
  • Maintain weekly reports, project archives, and other courseware documentation
  • Ensure that network directories are organized and maintained
  • Lead special projects that may entail research, engaging third parties, etc.
  • Manage sensitive information in a professional and confidential manner
  • Prepare for and host client events in our Salt Lake offices

Qualifications:

  • College degree preferred
  • Proficiency in MS Excel and Microsoft Office Suite products
  • A passion for efficiency and organization
  • Resourceful and detail-oriented
  • Self-directed and self-motivated
  • Strong internet skills and an aptitude for learning new technologies
  • Professional with all levels of management, staff, clients, and vendors
